Avon Amateur Dancers Club (AADC) is committed to respecting and protecting your privacy.
This statement explains the personal details we request and retain, the purposes for which we use them, how long we will keep them, the lawful basis for processing your details, and your rights in these matters.
This statement has been prepared by the Committee of AADC in the context of the General Data Protection Regulations (GDPR) and the Privacy and Electronic Communications Regulations (PECR), as implemented in the UK on 25th May 2018.
We may modify this statement as needs mature and we undertake to notify you by a notice on our web site (www.avondanceclub.org.uk) and by email (if subscribed) when that happens.
About Us
Avon Amateur Dancers Club (AADC), also known as Avon Dancers Club, was founded in 1975 to provide regular practise facilities for competitors and other practitioners of Ballroom and Latin-American dancing. We also promote ballroom dancing in the Bristol area by the occasional provision of competitive events and social dances.

Purpose of Retaining and Processing Personal Details
Avon Amateur Dancers Club requests and retains basic personal details for the purpose of administrating membership, providing benefits of membership, and for advising other persons who have expressed an interest in our club activities and events.
The personal details we retain may include:
Name;
Postal address;
Land-line and/or mobile telephone number;
Email address;
Evidence of concessions;
Other personal details supplied on a voluntary basis.
We do not retain or request personal data that is superfluous to club administration and communication. We do not retain or request “sensitive” personal data as defined in the Articles of the GDPR.
Security and Transfer of Personal Details
Avon Amateur Dancers Club records are held on paper by the Honorary Secretary, and/or on personal computers and encrypted cloud storage only accessible to authorised members of the Committee in the performance of their duties for the Club, and only for the purpose and duration of those duties.
Names and email addresses (only) may be stored by or transferred to/from the MailChimp on-line mailing list service, a recognised provider of mailing list management with GDPR compliance credentials.
We do not sell or otherwise provide personal details to third parties or other members of AADC, except as detailed above.
Lawful Basis
Avon Amateur Dancers Club, by necessity, retains and processes the personal details of paid-up members of the Club, for the purpose of administrating their membership, providing benefits of membership, and advising members of Club events by any and all communications methods provided by the member.
Members and non-members may also explicitly grant consent to receiving promotional information by email regarding the Club and Club events, and relevant products and services marketed to the Club by third parties.
Retention Period
Members’ details shall be retained for the duration of their membership plus a maximum of two years after their membership expires.
Persons opted into receiving promotional information by email shall be retained indefinitely until instruction is received to cease, or they fail to respond to a request to confirm their opt-in, whichever is the sooner.
Right to Review, Amend, or Withdraw Personal Details
Members’ personal records may be reviewed and amended on application to the Committee via the Honorary Secretary (see above), preferably by email. Members may not withdraw their record without also surrendering membership.
Subscribers to promotional information may amend or withdraw their email contact at any time, using the “unsubscribe” link available in every email, on-line, or on application by email to the Honorary Secretary.
